What we record, and what we do not.

Realest State is the system an estate agency uses to sell and manage villas. This document concerns the app and the platform behind it: what is recorded, why, for how long and who has access to it. It applies to everyone who uses the app: staff of an office, owners, board members of a residence, tenants and buyers.
In short
The app shows you what your office has recorded about your villa, your file or your work, and records what you do yourself. It does not ask for your location, does not read your contacts or your calendar, does not use the microphone, and contains no advertising or analytics service from another company. Data is not sold to anyone.
Who is responsible
The office you deal with decides what happens to the data and is therefore the controller. Realest State builds and manages the platform on behalf of that office and is therefore the processor. Questions about your own data should be put to your office; we help the office with them.
What the app records
- Your account. Your name, your email address, your language, your role and the office in which that role applies. You sign in with the office code, your personal code and a confirmation code.
- What belongs to your role. For an owner, the villa, the statements and the documents; for a tenant, the stay and the requests; for a buyer, the viewings and the offers; for a member of staff, the work, the schedule and the office's files. You see only what your role is permitted to see; the rest is not in your app.
- What you do. Every action that changes something, such as an offer, a report or an approval, goes into the log: who, what and when. It exists so that a file and an amount can be explained, and it is deliberately impossible to alter or erase.
- Photographs you add. Only with a report or a finding, and only the photograph you take or choose for that purpose yourself. It goes to your office and nowhere else.
- Notifications. If you turn on notifications, the platform stores a key for your device so that it can notify you about your file or your work.
- What waits on the device. If you work without a connection, what you did stays on the device until a connection is available again. It then goes to the platform. The last known state of a screen stays on the device, so that the app also opens without a connection.
What the app does not do
- No location: the app does not ask for that permission and cannot see where you are.
- No contacts, no calendar and no microphone.
- No advertising, no profiling and no analytics service from another company.
- No sale of data, to anyone.
Where it is stored
The data is stored on Realest State's servers in the European Union. Each office is shielded there from every other office, and traffic between the app and the server is encrypted. Your proof of sign-in is kept on your own device and expires when you sign out.
For how long
Your account remains for as long as your office knows you as a member of staff, owner, tenant or buyer. After that, the office deactivates the account. The log, the statements and the documents of a file are kept for as long as the office needs them for its accounts and its legal obligations.
Your rights
You have the right to know what has been recorded about you and to ask for it to be corrected or deleted. Because your office is the controller, this goes through your office. What is in the log cannot be altered; if something is incorrect, a line is added stating what was incorrect.
Deletion
If you would like your account and your data to be deleted, ask your office or write to info@realeststate.eu. The office deactivates your account; you can then no longer sign in. What is in the log, on a statement or in a deed is kept for as long as the law requires of the office.
